Executive Assistant to the President & CEO

Job Description

The EA is responsible for managing the schedules and communications of the President and CEO and provide high quality personal assistance and daily administrative support, assisting the CEO in her efforts to achieve the organizations’ objectives and strategic goals.

  • Support the CEO in managing workload and activities
  • Manage professional and personal scheduling for CEO, including agendas, emails, calls, travel arrangements, and other company logistics
  • Coordinate complex scheduling and extensive calendar management, as well as flow of information to senior executives
  • Manage executives’ team calendars and set up meetings
  • Organize scientific advisory board or other CEO-related events, in Israel or abroad
  • Manage, coordinate and arrange travel and travel-related activities for CEO, including hotel booking, transportation and agenda
  • Identify, anticipate and prepare information required for CEO meetings, appointments, presentations, reports, etc and follow up inward and outwards requests for information
  • Handle correspondence related to advisors, board and collaborators
  • Screen phone calls, enquiries and requests, and handle them when appropriate
  • Monitor the CEO’s budget and PO’s
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
  • Provide a bridge for smooth communication between the CEO’s office and internal departments
  • Manage and support other tasks according to the CEO’s request

Job Requirements

  • 3-5 years executive-level experience in a global company (with US focus) performing administrative duties and providing support to management
  • Bachelor’s degree preferred
  • Great communication skills
  • Proactive approach and problem solver attitude
  • Excellent organization skills essential with meticulous attention to detail
  • Able to plan, prioritize and multitask
  • Executing and monitoring tasks to their completion
  • Reliability and discretion – exposure to sensitive and confidential material
  • Fluent English- read/write/oral
  • Advanced knowledge of Microsoft Office to include Word, Excel, Outlook, PowerPoint is a must)
  • Flexible, efficient, self-driven and independent
  • Work in a hybrid (office/home) model
